Your Responsibilities
- Mapping and Optimizing Administrative and Operational Processes at the Institute
- Business Travel and Reimbursement Processes - Standardization of the procedure for requesting business travel (domestic and international). Establishment of a standard for business trip reimbursement with automatic allocation of costs to funding sources (projects) and the location where they were incurred (MPK). Implementation of a workflow for requests in digital tools.
- Procurement Processes and Funding Sources - Development of a procurement process that takes into account the MPK, funding sources, the mechanism for verifying the eligibility of expenditures, and the procurement regulations.

Hiring, Onboarding, and Workplace Preparation - Hiring Procedures: Formalizing the process from the hiring decision, through recruitment, to the signing of the contract. Preparing application templates. Workplace Logistics (IT & Admin):
- Create an "onboarding" procedure for new employees.
- Onboarding: Developing an onboarding process for new employees within the Institute's structure.
- Internal training: Developing the curriculum and conducting/coordinating mandatory training sessions (including on procurement procedures, document workflow, and data security policies). - Automation and Standards (Implementation) - Mapping the above processes (e.g., BPMN or another clear flowchart). Implementing the processes using available tools (e.g., document management systems, spreadsheets, IT systems—Symfonia edokumenty). Developing a "User Guide" (knowledge base) for employees that consolidates in one place the rules regarding business travel, procurement, hiring, and onboarding.
Our Requirements
- Experience implementing the Symfonia program in the area of e-documents (required);
- Experience in a position involving the analysis, mapping, and optimization of processes and/or project management (experience in the R&D sector or public administration is preferred);
- Proficiency in mapping and modeling business processes using industry standards (e.g., BPMN) and specialized tools (e.g., ADONIS, Miro);
- Highly developed communication skills, such as the ability to listen, present one’s case, and explain complex procedures in a way that everyone can understand;
- Practical knowledge of project management methodologies (e.g., Agile, Scrum);
- Experience in developing formalized internal documentation (regulations, instructions, procedures);
- Strong communication and interpersonal skills;
- Good, practical knowledge of the Google ecosystem.
